Privacy Policy

The She Circle (operated by Pluralstar Pty Ltd, ABN 41 669 590 176, trading as The She Circle — "we", "us", "our") respects your privacy. This policy explains what personal information we collect, why we collect it, and what you can do about it. It applies to theshecircle.com.au and to the sign-in, registration and waiver forms we use at our events, including paper forms.
We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), regardless of whether our turnover technically requires it.
1. Who we are

2. What we collect
We collect the personal information you give us directly, including:
- your name, email address and phone number, when you register interest in an event or circle, join our member list, or contact us;
- the kind of interest you register (for example, an event, a circle, She Stories or membership) and, where relevant, which event or circle;
- whether you have opted in to marketing emails, and the date and version of that consent;
- the contents of any message you send us through our contact form;
- at events, the details on our sign-in sheets and waiver forms — your name, contact details, signature and any health information you choose to share, and, where you register for an event, an emergency contact name and phone number;
- your attendance and registration record for an event, including payment status where relevant;
- any consent you give us — online or on paper — to our event waiver, to photography and AI-image use, or to marketing, and the version of the wording you consented to;
- photographs and video of you taken at our events and, if you opt in, any AI-edited or AI-generated image or video made from those photos;
- your IP address, collected when you submit a form and used only to prevent abuse of our forms (we do not otherwise track your browsing activity — see clause 9);
- limited internal records of certain account and content actions, kept for security and accountability.
We only collect health information with your consent, and only for the purposes in clause 3.
3. Why we collect and use your information
We collect and use personal information to:
- run our events and circles, including sign-in, safety and emergency response;
- process registrations and, where applicable, payment for events;
- respond to enquiries sent through our contact form;
- run our free member list and, if you opt in, send you newsletters and marketing about The She Circle and its events;
- keep a record of the consents you have given us, and which version of our terms or waiver applied at the time;
- use photographs, video and any AI-edited or AI-generated material you have opted in to, in our marketing and on our social media channels;
- prevent misuse of our online forms, including basic rate-limiting;
- meet our legal, insurance and accounting obligations.
If you do not provide the details we ask for, you may not be able to sign in, attend an event, join our member list, or have your enquiry answered.
4. How we collect your information
Mostly directly from you — through the forms on our website, our printed sign-in sheets and waiver forms at events, or when you email or speak with us. Our own staff, contractors or volunteers may enter information from a paper form into our systems on your behalf.
5. Disclosure of your information
We may disclose personal information to:
- our service providers, including email delivery, IT hosting and image-editing services, so they can provide those services to us;
- the social media platforms where we publish event photos and video, unless you have asked us to keep you out of shots;
- medical and emergency service providers, if needed to keep you safe at an event;
- our professional advisers — for example our insurer, lawyers or accountants — if there is an incident or claim, or as otherwise needed to run our business;
- a government body or other party, if required or authorised by law.
We do not sell your personal information.
6. Information sent overseas
Some of our service providers — for example, email and cloud-hosting providers — may store or process information outside Australia. Where this happens, we take reasonable steps to make sure your information continues to be handled consistently with the APPs, including by choosing providers with appropriate privacy and security safeguards.
7. Photography, filming and AI images
Our events are photographed and filmed, and images that include you may be used in our marketing and on our social media channels as a condition of entry — the full wording is in our Event Waiver & Consent. Separately, and only with your opt-in consent, we may use AI tools to edit photos or video of you, or to create new AI images based on them, for our social media and promotions. You can withdraw AI-image consent at any time by emailing hello@theshecircle.com.au; withdrawal applies to future use, and we will take reasonable steps to remove anything already published from our own channels, though we cannot guarantee removal of copies made by others.
8. Marketing emails
We only send marketing emails to people who have opted in. Every marketing email identifies us as the sender and includes an unsubscribe link, and you can also unsubscribe at any time by emailing hello@theshecircle.com.au. This reflects our obligations under the Spam Act 2003 (Cth).
9. Cookies and analytics
Our website does not currently use analytics, advertising or tracking cookies. If we introduce analytics or a similar tool in future, we will update this policy first to explain what we use and why.
10. Storage and security
We store personal information in systems with access controls appropriate to a small organisation, and we take reasonable steps to protect it from misuse, loss and unauthorised access. Paper forms collected at events are transcribed into our systems and then stored or disposed of securely.
11. How long we keep your information
We keep personal information for as long as we reasonably need it for the purposes in clause 3, or as required by law. Some records — including signed waiver forms and any incident records — must be kept for longer, for as long as legal claims could be brought and as our insurer requires. Where we no longer need information and are not required to keep it, we take reasonable steps to destroy or de-identify it.
12. Access, correction and deletion
You can ask to access or correct the personal information we hold about you, or ask us to delete what we no longer need to keep, by emailing hello@theshecircle.com.au. We will respond within a reasonable time. We may need to verify your identity first, and some information described in clause 11 cannot be deleted while we are required to retain it.
13. Complaints
If you are unhappy with how we have handled your personal information, please email hello@theshecircle.com.au and we will do our best to resolve it. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
14. Children
Our events are for adults aged 18 and over. We do not knowingly collect personal information from children through our website.
15. Changes to this policy
We may update this policy from time to time. The date at the top of this page tells you when it was last updated, and the current version is the one that applies.
